Orders Scattered Everywhere Get Lost

A notebook at the register, a WhatsApp chat, and a stack of delivery slips — that works until one busy Friday. Then orders slip through, and nobody knows what happened.

ITEM 01

Every Channel Has Its Own Pile

Counter sales in the drawer, Instagram orders in chat, phone orders on sticky notes. There is no single place that answers a simple question: what did we sell today?

ITEM 02

Unpaid Balances Get Forgotten

A customer pays half and promises the rest next week. Without a system that tracks due dates, that promise lives in someone's memory — and memories forget.

ITEM 03

No Record of Who Did What

An order was cancelled, a discount was given, a payment was edited — by whom? When? Without an order history, every dispute turns into guesswork.

ITEM 04

Receipts Are Manual Work

Writing receipts by hand or re-typing order details into WhatsApp wastes time at the busiest moment of the day — and looks unprofessional to customers.

From New Sale to Paid and Delivered

The same simple flow whether the order starts at the counter or on your website.

  1. 01

    The Order Comes In

A cashier rings it up on the POS, a customer checks out on your online store, or your team enters a phone or WhatsApp order manually. Either way it gets an order number and joins the list.

  2. 02

    You Prepare and Update

Update the fulfillment status as the order moves — preparing, ready, delivering. Tap the WhatsApp button to tell the customer, with a message that matches the status.

  3. 03

You Get Paid and Close It

Record payments as they arrive — full, partial, or scheduled with a due date. Approve receipt-image payments after reviewing them. Print or send the receipt, and the order is done.

Three Ways Orders Arrive, One Way to Manage Them

The order source is recorded automatically, so your reports show where your business really comes from.

ITEM 01

At the Counter (POS)

The full-screen sale view: browse the catalogue, pick variants, attach a customer, apply coupons or discounts, and take payment — cash with automatic change, online, or receipt.

ITEM 02

On Your Online Store

Storefront orders arrive with the customer's details, address, and chosen payment method. Cash and receipt payments arrive as pending — you approve them after checking.

ITEM 03

Entered by Your Team

Phone calls, WhatsApp messages, Instagram DMs — your team enters them as manual orders and tags the sales channel, so nothing lives only in a chat thread.

Order Statuses That Match How You Actually Work

Every fulfillment method has a clear path. In-store sales complete immediately; pickup and delivery orders move step by step.

StatusWhat it means
PendingThe order is in — nobody has started on it yet
PreparingYour team is getting the items ready
ReadyReady for pickup, or waiting for the courier
DeliveringOut for delivery to the customer's address
CompletedThe customer has the order — done
CancelledOrder cancelled — reserved stock goes back on the shelf

Payment status is tracked separately: Pending, Partial, Paid, Refunded — so you always know the money side too.

Frequently Asked Questions

Common questions about managing orders in Cashvio.

Can I see orders from my online store and my shop in one list?

Yes. Every order — from the POS, the online storefront, or entered manually by your team — appears in the same Sales list. Each order is tagged with its source, and you can filter by it.

What happens to inventory when I cancel an order?

Cancelling a pending order returns the stock automatically — quantities go back to what they were before the order, as long as inventory tracking is enabled for those products.

Can a customer pay part of the order now and the rest later?

Yes. Take any amount now and schedule the remaining balance with a due date. The order shows the amount paid and the amount still owed, and the scheduled payment appears on the Overdue Payments page.

How do I follow up on customers who owe money?

Open the Overdue Payments page. It lists every scheduled payment with its due date and status — on time, due soon, or overdue. From there, open the order to record the payment or push the due date.

Do WhatsApp updates need a WhatsApp Business API account?

No. Cashvio opens WhatsApp with a ready message — the receipt link or a status update — and you press send from your own account. It works with any WhatsApp, personal or business, with nothing to configure.

How do customers get their receipts?

Four ways: print on a thermal printer or the browser, download a PDF, copy a shareable receipt link, or show a QR code they scan. The digital receipt is a mobile-friendly page with the items, totals, and payment status.

What is a receipt payment and how do I approve it?

A receipt payment is a bank or wallet transfer proven with an uploaded image. When a storefront customer pays this way, the payment arrives pending — you open the order, view the uploaded image, and confirm it to mark the payment complete.

Can I export my orders?

Yes. Apply any filters you want — dates, store, payment status, channel — and export the filtered view to CSV from the toolbar.
