Adding Products from a File
Add hundreds of products at once by filling a simple Excel template and uploading it — with instant checks before anything is added.
What is it?
Instead of adding products one by one, you can fill a spreadsheet with all your products and upload it once. Cashvio checks every row first, tells you about any problems, and then adds the products in the background while you keep working.
This is the fastest way to move an existing catalog into Cashvio — for example when you're switching from another system or from a paper list.
Before You Start
- Go to Catalog > Products and click Add from file.
- Click Download the template — you get an Excel file (.xlsx) with the correct columns and two example rows.
- Open it in Excel or Google Sheets.
Important
Keep the first row (the column headers) exactly as it is, and replace the example rows with your own products. The example rows are recognized automatically and will never be added.
Filling the Template
One row = one product. The columns are:

| initialQuantity | Optional | How many units you have in stock right now — a whole number like 25. Leave empty to start at zero. Only works when trackInventory is yes (or empty) |
File formats
You can upload the file as Excel (.xlsx) — just save normally — or as CSV if you prefer. Both work, and Arabic product names are kept intact.
Uploading and Reviewing
- Drag your file into the upload box (or click to choose it).
- Cashvio checks the file instantly and shows you:
- How many rows are ready to add
- Which rows have problems, with the row number and a plain explanation (e.g. "Row 7 — sellingPrice must be a number")
- If your file has quantities in the initialQuantity column, a Store receiving the stock picker appears — choose which store's shelves these units are on. You can't continue until a store is chosen.
- Nothing is added yet — you decide:
- Fix the problems in your file and upload it again, or
- Continue anyway: rows with problems are skipped, valid rows are added.
- Click Add X products to start.
One store per file
All quantities in a file go to the single store you pick. If your stock is spread across several stores, upload one file per store — or import without quantities and use stock transfers later.
While It Runs
The process runs in the background — you can leave the page and come back; the progress is saved. The progress screen shows:
- A progress bar (e.g. "250 of 800 processed")
- How many products were added
- How many rows were skipped, each with the reason (e.g. "SKU already exists in your catalog")
Resilient by design
If anything interrupts the process (for example a connection problem), it automatically continues from where it stopped — products added so far are safe, and no product is ever created twice.
Afterwards
- New products appear in Catalog > Products immediately.
- Rows with an initialQuantity start with that stock in the store you picked; the quantities also appear in the inventory history, linked to the upload. Rows without a quantity start at zero stock — add quantities from Inventory > Stock whenever you like.
- Product photos can't be added from the file — add them from each product's page.
- New categories mentioned in your file were created automatically under Catalog > Categories.

Common Questions
Q: I uploaded the wrong file — did it add anything? A: No. Nothing is added until you press the Add X products button.
Q: Some rows were skipped. Do I have to retype them? A: No — fix those rows in your file, delete the rows that were added successfully (or leave them; duplicates are skipped automatically), and upload again.
Q: Can I add product variants (sizes, colors) this way? A: Each row creates one product with one price and SKU. For products with multiple variants, create the product from Catalog > Products > Add New Product where you can define options and variants.
Q: I have several stores — where does the stock go? A: All quantities in one file go to the store you pick during the upload. Upload a separate file per store, or leave initialQuantity empty and distribute stock later with transfers.
Q: Can I update existing products with the file? A: Not yet — the upload creates new products only. Rows whose SKU already exists are skipped and listed with the reason.
